2. Review these decisions with your team

  1. Capture only information that supports the next step

    Record contact details, enquiry source, portfolio size and the next action. Add a realistic date where a follow-up is needed. Avoid collecting personal information simply because a field exists.

  2. Make ownership explicit

    Give each opportunity a responsible person. That person should know the next decision needed, whether it is a call, property review or proposal discussion.

  3. Treat won as a handover

    Mark the opportunity won only after the commercial decision is real. Create the owner relationship and begin a checklist for agreement confirmation, property information, access and operational preparation.

  4. Keep acquisition separate from daily care

    Once an owner is active, their cleaning, maintenance and reporting belong with the property records. The original lead remains useful for source and relationship history, but it should not become a substitute for operational management.

3. Try one complete workflow

Choose one property and a normal operational job. Name the responsible person, record the expected outcome and work through the process. Check that the next person can understand what happened without a separate explanation.

4. Review before expanding

Record missing information, unclear handovers and permission problems. Correct them at the source, then repeat the pilot. Invite owners only after checking their access with an appropriate test account.
