1. Read the practical method

The owner wants to know what is happening at their property, what has been completed and whether a decision is needed. Build the experience around those questions instead of exposing the management team’s entire workspace.

1. Make property access explicit

   An owner should see only the properties currently linked to them. The application must check that relationship when a record or file is requested, not only when the owner signs in.

2. Show evidence with context

   Useful evidence includes completed cleaning, inspection results, maintenance resolutions and relevant photographs. Each item should explain what it relates to and when it was recorded.

3. Provide a stable monthly view

   Monthly reports should identify the property and period, separate recorded revenue and expenses by currency and explain unresolved issues. A manager note adds context that totals alone cannot provide.

4. Keep decisions and contact clear

   When work needs approval, show the shared scope and available cost information and record the decision. Make it clear what remains pending.

3. Try one complete workflow

Choose one property and a normal operational job. Name the responsible person, record the expected outcome and work through the process. Check that the next person can understand what happened without a separate explanation.

4. Review before expanding

Record missing information, unclear handovers and permission problems. Correct them at the source, then repeat the pilot. Invite owners only after checking their access with an appropriate test account.
