GUIDES

Cleaning coordination field guide

A structured guide with practical steps and related operational tools.

A guided reading path: understand the process, apply a template and test the workflow.

What this guide helps you do

Build a workable turnover process with named assignments, practical checklists and visible exceptions. Work through the reading and the practical checks below with the people responsible for the process.

1. Read the practical method

Identify the property, the required completion date and the person responsible. If timing depends on a booking calendar, verify it in the booking system; do not assume an operational job creates or changes a reservation.

2. Review these decisions with your team

  1. Define the standard with the team

Create a checklist organized by the way the cleaner moves through the home. Use specific outcomes for kitchen, bathroom, sleeping areas and final arrival checks. Avoid a large list of vague reminders.

  2. Give exceptions their own path

A missing supply, damaged appliance or access problem needs a recorded issue and a next action. Workers should know which situations require immediate contact with their manager.

  3. Use evidence purposefully

Ask for photos that demonstrate a relevant outcome, especially where an issue was found or a manager needs to review readiness. More photographs do not automatically create better proof.

  4. Review workload and repeated issues

Use the daily queue to spot overdue work and upcoming jobs. A workload count helps identify pressure, but it does not include travel time or the complexity of each clean unless those facts are recorded separately.

3. Try one complete workflow

Choose one property and a normal operational job. Name the responsible person, record the expected outcome and work through the process. Check that the next person can understand what happened without a separate explanation.

4. Review before expanding

Record missing information, unclear handovers and permission problems. Correct them at the source, then repeat the pilot. Invite owners only after checking their access with an appropriate test account.
